What Facility Managers Should Ask Before Hiring a Cleaning Vendor

Hiring the wrong cleaning company wastes time, money, and creates headaches you don't need. Whether you're choosing a vendor for the first time or replacing one that didn't work out, these are the questions that separate reliable companies from the ones that will disappoint you.

1. Are you licensed, bonded, and insured?

This is non-negotiable. A company without proper insurance leaves you liable for any injuries or damage on your property. Ask for a certificate of insurance and verify it's current.

2. Do you background-check your employees?

These people will be in your building unsupervised, often after hours. You need to know the company screens its workers. Ask about their hiring and vetting process specifically.

3. What's included in the price — and what isn't?

Get a written scope of work. If something important (like restroom deep cleaning, window washing, or floor care) isn't listed, it's not included — and you'll be charged extra later.

4. How do you handle quality complaints?

Every cleaning company misses something eventually. What matters is the process: Do they have a re-clean policy? How quickly do they respond? Who do you contact? Ask for specifics, not vague promises.

5. What's your cancellation policy?

Avoid companies that lock you into long-term contracts with stiff penalties. A company confident in its service quality should offer reasonable terms — ideally month-to-month or 30-day notice.

6. Do you provide your own supplies and equipment?

Most professional companies bring their own. If they expect you to supply products, that's unusual and may indicate they're cutting costs. If you have preferences for specific products (green cleaning, fragrance-free, etc.), confirm they can accommodate.

7. Can you handle our specific facility type?

A company that's great at offices may not be equipped for medical office cleaning or industrial cleaning. Ask about their experience with your facility type specifically and what training their staff has.

8. Who will actually be cleaning our building?

Will it be the same team each time, or will different people rotate in? Consistency matters — a team that knows your space does better work than strangers.

9. Can I see references from similar facilities?

Any company worth hiring should be able to provide references from businesses similar to yours. Ask specifically for references from the same industry and similar size.

10. Will you do a walkthrough before quoting?

A company that quotes without seeing your facility is guessing. A walkthrough lets them understand your actual needs and give you an accurate price. If they won't do it, that's a red flag.
